Vacature: Incoming Students Officer

The International Relations Office of the School of Business and Economics (SBE) is looking for a qualified candidate to join the Incoming team as an Incoming Students Officer. The Incoming team consists of the Incoming Coordinator and two Incoming Students Officers; we are currently seeking to fill the position of the second officer.

Job Description

The Incoming Team is responsible for serving as the first point of contact for (prospective) incoming exchange students at SBE. Key tasks as an Incoming Students Officer include managing the registration process for incoming exchange students, ensuring complete and accurate processing of their applications, and organizing the twice-yearly introduction days to support their smooth transition. The role also involves processing and distributing academic transcripts for these students, addressing their inquiries primarily via email, and providing consistent support to ensure a positive exchange experience.

This position is part of SBE’s international relations team, which is dedicated to supporting exchange programs and enhancing the institution’s global engagement. The team works collaboratively with administrative and academic departments to deliver seamless services and uphold institutional standards.

Additionally, you will:

  • Maintain and update brochures, the intranet, website, and social media platforms;
  • Support, maintain, and improve relationships with partner institutions;
  • Assist in creating communication materials for the incoming exchange program and update these materials;
  • Provide comprehensive support to incoming students via email, phone, online, and in-person consultations;
  • Track and monitor the progress of exchange program participants;
  • Complete required documentation, such as Online Learning Agreements using the EU Dashboard;
  • Stay informed about global trends affecting internationalization and support the Incoming Coordinator in strategic planning.

The ideal candidate will:

  • Demonstrate proven excellence in administrative skills;
  • Show enthusiasm for supporting students in a diverse environment;
  • Be a team player with a collaborative and adaptable mindset;
  • Possess strong verbal and written communication skills;
  • Hold a relevant University of Applied Sciences degree or equivalent professional experience;
  • Have proficiency in both English and Dutch at the C1 level or higher.

What we offer

As an Incoming Students Officer at the School of Business and Economics, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:

  • Good employment conditions. The position is graded in scale 7 according to UFO profile student affairs officers, function level 3, with corresponding salary based on experience ranging from €2899,00 and €3809,00 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus apply.
  • An employment contract for a period of 12 months with a scope of 0,8 - 1,0 FTE. Upon proven suitability, the employment contract will be converted to an indefinite contract.
  • At Maastricht University, the well-being of our employees is of utmost importance, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model.
